How to get it right
Welcome sign or seating chart - different jobs
A welcome sign is read in passing: the couple's names, the date, perhaps a line of welcome, all large and all at once. 18x24 is plenty. A seating chart is read standing still by people looking for one name among a hundred, so it needs size, clear columns and generous spacing between tables - which is why 24x36 is the common choice. Both can go in the same order, and each design gets its own proof.
Settle the guest list before the proof
Every change to the names is a new proof, and the last two weeks before a wedding are when the list changes most. Revisions are unlimited, but the calendar is not: production is two business days after you approve, and shipping takes 3-5 business days. Approve the proof ten days before the date and you have a comfortable margin; a week out is tight.
How it is displayed
These are paper posters on semi-gloss stock, printed for an easel frame or a frame on the wall - we do not mount them on foam board. The semi-gloss surface does not fuse to frame glass, so the sign can come out afterward and be kept. For a seating chart written in white directly on a mirror, see our mirror sign page instead.
Vector files keep small seating-chart text sharp
A seating chart is small type in tight columns - table numbers, forty or eighty names, spaced close enough that any blur turns into a guessing game at the reception door. If your design comes from Canva, InDesign or Illustrator, export it as a vector PDF: text stays sharp at any size, unlike a raster file that can go soft once someone leans in to find their table. If a photo sits behind the names, keep that layer at 300 DPI at final print size. Our designer checks the whole file before the proof goes out and flags anything that will not hold up at close reading distance, so the problem shows up on screen before printing, not while a guest is squinting at table six trying to find their name among a hundred others.
A second poster for the reception itself
Many couples print a second poster for the reception itself: a photo timeline of the relationship or a where-to-find-us map of the venue grounds for a property with more than one building. These sit on a side table rather than at the entrance, so they read at arm's length rather than across a room - 18x24 or even 16x20 is plenty, since nobody is trying to make out the details from across a lobby. Order it alongside the welcome sign and the seating chart in the same cart; each design still gets its own free proof, and having all three ready together means nothing is missing on the morning of the wedding.
Questions people ask about these
What size should a wedding seating chart poster be?
24x36 inches is the usual choice for a full guest list - it gives each table its own column with room to read standing up. Smaller weddings fit on 18x24.
Can I make changes to the names after I see the proof?
Yes - revisions are unlimited until you approve. Just leave time: production starts only after approval, and shipping takes 3-5 business days.
Do you print on foam board?
No. We print on semi-gloss poster paper made for an easel frame or a wall frame; we do not offer foam board or mounting.
How far ahead should I order?
Approve the proof about ten days before the wedding. Production is two business days after approval and free US shipping takes 3-5 business days.
Can I order the welcome sign and the seating chart together?
Yes - add both to one cart. Each design gets its own free proof with unlimited revisions.
What file format should I use for a seating chart with lots of small text?
A vector PDF, AI or EPS file keeps small table-number text and tight name columns crisp at any size, which matters most on a chart with dozens of names. If you're working from a raster file instead, export it at 300 DPI at the final print size so the text doesn't blur once guests lean in to read it.
Can I add a photo timeline poster to the same order?
Yes - add it as a third design alongside the welcome sign and seating chart. Each one gets its own free proof and its own approval, and ordering them together means everything for the reception ships in one package instead of arriving on separate days closer to the wedding.
